AI invoice processing that stops before payment.

How an AI agent reads vendor invoices, codes them, matches them to purchase orders, and stages bills in QuickBooks or Xero while a person approves payment.

Vendor invoices arrive in a shared inbox, as PDFs, photos, and forwarded emails. Someone opens each one, types it into QuickBooks or Xero, checks it against the order, and waits for the owner to approve payment. In a busy month that is hours of work, and it is where duplicate payments and late fees come from. Most of that work follows rules. The same vendors, the same accounts, the same checks. That is the shape of work an agent does well. Vendors send invoices to an address the agent owns, such as ap@ on your domain. The agent reads each one and pulls out the vendor, invoice number, date, due date, amount, and line items. It checks for duplicates by vendor, number, and amount. It codes each line to an account and class using rules you wrote and entries you approved before. Where a purchase order or receiving record exists, it matches against them. Then it stages a draft bill in your accounting system with the source document attached, and adds it to a proposed payment run ordered by due date. Nothing is posted as final and nothing is paid. Payment approval stays with a named person. So does adding a new vendor, and so does any change to a vendor's bank details, which is a common route for invoice fraud. The agent flags those, it never accepts them. An amount that does not match the order, a missing purchase order, an unreadable scan, a vendor it has not seen. Each comes back flagged with the reason and the document, so the reviewer decides in seconds instead of starting from scratch. Every action is logged: what arrived, what the agent extracted, which rule coded each line, and who approved it. That record is useful at month end and at audit time. Count invoices per month, hours spent entering and matching them, days from receipt to entry, and late fees paid. Those numbers set the baseline, and the agent's weekly report measures against them. Write the coding rules for your 20 most frequent vendors, including the exceptions. Pick one company or entity. The free AI Value Scan maps the invoice workflow and marks the approval points. The Pilot puts one invoice agent into production on your real data within 30 days, with a full refund if it is not running.
